Farewell – Basket 2 – CAS Project

As the OC Head for the school’s farewell party for the Grade 12 batch, I was entrusted with the enormous responsibility of planning and executing one of the most anticipated and emotional events of the year. The added challenge was that it had to be organized as a complete surprise. My responsibilities ranged from managing dance rehearsals and conceptualizing décor to coordinating logistics, communicating with teachers, and overseeing multiple sub-teams. This project pushed me to grow in every aspect of organization, creativity, leadership, and emotional intelligence.

LO1: Identify own strengths and develop areas for growth

Prior to this event, I considered delegation to be one of my strengths, but I often hesitated to assert myself in large group settings. Serving as OC Head pushed me to overcome this hesitation. I managed several sub-teams, including dancers, logistics volunteers, and the décor team, and was specifically in charge of generating creative décor ideas and supervising the décor team’s execution. I discovered that my greatest strengths lay in handling pressure, motivating others with empathy, and fostering collaboration. At the same time, I realized I needed to improve my time management skills and assertiveness when making final decisions. This reflection allowed me to focus on both personal growth and team efficiency.

LO2: Demonstrate that challenges have been undertaken, developing new skills in the process

One of the biggest challenges of the farewell party was maintaining secrecy, as the entire event had to be a surprise for the 12th graders. Coordinating dance rehearsals without revealing the plan, storing décor materials in hidden locations, and scheduling around students’ classes required careful planning and creativity. In addition, overseeing the décor team and ensuring that every design idea could be implemented efficiently added another layer of complexity. This experience allowed me to develop skills in logistical foresight, risk management, and problem-solving, while also strengthening my ability to communicate discreetly and coordinate multiple moving parts simultaneously.

LO3: Demonstrate how to initiate and plan a CAS experience

Planning the farewell party required weeks of preparation and detailed organization. I created a comprehensive timeline with checkpoints, budget estimates, prop and costume lists, and team rosters. I regularly communicated with teachers to seek approvals, conducted daily check-ins with both the dance and décor teams, and ensured that each task had a backup plan for potential mishaps. As the in-charge of décor, I generated creative ideas, coordinated with the décor team to implement them, and ensured that the overall visual aesthetic matched the theme of the event. This level of planning taught me the importance of foresight, attention to detail, and adaptability in executing a large-scale project successfully.

LO4: Show perseverance and commitment in CAS experiences

Many challenges arose throughout the planning and execution of the event, including technical issues such as music files not exporting, team members missing rehearsals, last-minute vendor cancellations, and constant time constraints. Despite these setbacks, I remained fully committed, arriving early to coordinate activities and staying late to troubleshoot problems. I personally guided sub-teams whenever they needed support, ensuring that progress was continuous and that the event vision was maintained. This experience reinforced the idea that true commitment involves perseverance, problem-solving under pressure, and leadership through example.

LO5: Demonstrate the skills and recognize the benefits of working collaboratively

The farewell party required extensive collaboration with multiple groups, including dancers, artists, logistics volunteers, the décor team, and administrative staff. Each group had a distinct working style, and I learned to adapt my communication accordingly—being detailed and clear with the décor team, flexible and encouraging with dancers, and formal and concise with teachers. Leading the décor team and generating creative ideas for the event allowed me to facilitate collaboration while ensuring a cohesive outcome. This experience highlighted how effective teamwork amplifies creativity, efficiency, and morale and showed me how diverse perspectives contribute to a successful event.

LO7: Recognize and consider the ethics of choices and actions

Ethical considerations were central to planning the farewell party. I ensured that the event was inclusive, representing every member of the batch in videos, songs, and messages, while avoiding inside jokes or references that could exclude anyone. I also emphasized ethical budgeting and sustainability by reusing materials from previous events, minimizing food waste, and making conscious spending decisions to ensure that every resource served a meaningful purpose. These choices reinforced my understanding of responsible decision-making and the importance of considering the social and environmental impact of my actions.
