PROJECT – Senior School Garba Fest 

Organizing a large-scale cultural event is no small feat, and the Senior School Garba Fest was no exception. As a member of the organizing committee, my responsibilities extended beyond mere planning—I was deeply involved in logistics, scheduling, and ensuring the seamless execution of the event. With hundreds of students and teachers expected to attend, the stakes were high, and every detail had to be accounted for.

From coordinating with decorators to ensure the venue radiated the essence of traditional Garba to managing last-minute wristband distributions, the experience required adaptability and quick thinking. The chaos behind the scenes was evident, whether it was calming panicked volunteers,, or running around to secure extra spray paint for decor . However, through it all, the event turned out to be a grand success, filled with vibrant energy, synchronized dance moves, and an atmosphere of festivity.

Learning Outcome 1: Identify Own Strengths and Develop Areas for Growth

While I had always enjoyed participating in school events, stepping into an organizational role was a completely different experience. I realized that my ability to multitask and anticipate potential challenges proved invaluable in ensuring the event went smoothly. However, one of my biggest learning curves was dealing with unforeseen obstacles—whether it was a missing piece of decor, a shortage of wristbands, or an overlapping schedule. I initially struggled with delegating tasks, often attempting to manage everything myself, which led to unnecessary stress. However, by the end of the event, I learned to trust my team and efficiently distribute responsibilities, making the process significantly more manageable.

Learning Outcome 2: Demonstrate Challenges Undertaken and Develop New Skills

One of the biggest challenges was ensuring that the event remained inclusive and enjoyable for all attendees, including those unfamiliar with Garba. Managing time efficiently was a crucial skill I had to develop. With such a big venue , it seemed like making decor for it would be near impossible . For the first couple days it seemed like we were making no progress , no two people could agree on one idea and for a while I lowered my hopes, but as the deadline came closer we learnt to collaborate with each other and negotiate in a way that satisfied everyone . This required meticulous planning, constant communication, and the ability to think on my feet.

Learning Outcome 3: Initiate and Plan a CAS Experience

From its inception, the Garba Fest was meant to be more than just a dance event—it was an opportunity to bring the school community together and celebrate cultural diversity. I played a key role in ideating and planning, from deciding the event layout to ensuring refreshments and music were taken care of. This required strategic thinking, budgeting, and liaising with various stakeholders, including the school administration, external vendors, and student volunteers.

Learning Outcome 4: Show Commitment and Perseverance

Commitment was a non-negotiable factor throughout the organizing process. There were moments when exhaustion set in, especially during the final week leading up to the event when early – in  planning sessions became routine. Yet, pushing through those moments and seeing the event come to life was incredibly rewarding. Whether it was running around the school to get yellow chart paper to painting cups during early- in while being sleep deprived , the experience reinforced the importance of perseverance in event management.

Learning Outcome 5: Demonstrate Skills and Benefits of Working Collaboratively

With an event of this scale, teamwork was essential. Every team member had a specific role, and ensuring effective coordination among us was crucial. Whether it was working with the other members of my team to finalise the theme colors or collaborating with them to make the design for the poster ,  the success of the event hinged on our collective efforts. Although disagreements arose at times, we navigated them by maintaining open communication and focusing on our shared goal.

Learning Outcome 6: Engagement with Global Issues

While Garba is a traditional Indian dance form, our goal was to make the event accessible to everyone, irrespective of their cultural background. The fusion of traditional and contemporary music, the inclusion of diverse dance forms, and the welcoming environment ensured that attendees from different backgrounds could participate comfortably. In doing so, we fostered cultural appreciation and inclusivity, reflecting a broader global perspective.

Learning Outcome 7: Recognize and Consider the Ethics of Choices and Actions

Throughout the organizing process, we had to make ethical decisions—whether it was ensuring that we switched to a more environmentally friendly material for decor or making sustainable choices like minimizing plastic decorations. Additionally, we prioritized safety, making sure that medical assistance was readily available in case of any injuries. The ethical considerations extended to crowd management as well, ensuring that everyone had a fair chance to participate without feeling left out.

In conclusion ,being a part of the organizing committee for the Senior School Garba Fest was an unforgettable experience that pushed me to grow in numerous ways. The event was not just about celebrating culture; it was about teamwork, resilience, and creating an inclusive environment where everyone could come together and enjoy. Reflecting on this experience, I realize how much I have learned about planning, collaboration, and adaptability—skills that will undoubtedly benefit me in the future.
